Built for every stage of an animal's journey through your organization

Every shelter, rescue, and foster network operates with a structural challenge: animals move between the facility, foster homes, and new owners — but the organization remains responsible throughout. A spreadsheet can record that. TailTracker connects it.

When an animal is placed in foster care, it doesn't leave the organization's operational record. When it goes missing from that foster home at 9pm on a Saturday, TailTracker already knows who holds custody, where the animal was last located, and how to activate a structured recovery mission — without exposing the foster's home address to the public.

Flight risk peaks exactly when animals leave your direct care

You already know this from experience: a newly adopted dog bolts through a front door during the first week. A foster cat slips out during a house tour. An animal transported to a new placement escapes a car door. These aren't random events — they cluster predictably around transition moments.

The three highest-risk windows for missing animal events are adoption day and the first few weeks in a new home, foster placement transitions, and transport between facilities. In each case, the animal is disoriented, in unfamiliar territory, and in the hands of someone who may not yet know its behavioral cues — and your organization is still responsible.

Adoption & New Home

Flight risk is highest in the first 30 days after adoption. New environment, unfamiliar people, no established bond with the space. The adopter is learning the animal at the same moment the animal is most vulnerable.

Foster Placement Transitions

Each time an animal moves between your facility and a foster home — and back — is a moment of elevated risk. New handler, new address, new yard. If something goes wrong, your organization needs to be in the loop immediately.

Transport & Transfer

Animals moving between locations — to vet appointments, between facilities, to events — are out of their known environment and often stressed. A moment of inattention at a car door or crate latch can become an hours-long search.

Adoption Events & Public Outreach

High-foot-traffic situations — adoption fairs, community events, public appearances — combine unfamiliar people, open spaces, and a stressed animal. Even experienced handlers have animals slip leads in these settings.

TailTracker doesn't eliminate these risks. It means that when one of these moments becomes an incident, the response is structured and immediate — not a scramble across text threads to figure out who has the animal's photo and where the foster lives.

What TailTracker gives your organization

Four capabilities that most organizations currently manage across three different systems — or don't manage at all.

Getting your organization set up

Most organizations are operational within an hour of approval.

1

Apply for free access

Submit the short shelter and rescue access application. TailTracker reviews applications, then your primary admin account receives access to the partner dashboard once approved.

Takes about 10 minutes
2

Add your animals

Enter each animal's profile: name, species, breed, sex, birthdate, microchip number, markings, and photo. Animals are created with custody status "facility" — meaning your organization is the authority of record from intake.

Bulk upload available for large rosters
3

Invite your staff

Add staff and volunteers to your organization with role-scoped access. Coordinators, fosters, and admins each see only what they need to do their job.

4

Manage placements and transfers

Send foster placement invites, track status, initiate returns, and manage adoption transfers — all from the partner dashboard. The animal's custody status updates in real time as each step is confirmed.

5

Emergency coordination is always ready

If any animal goes missing — whether at the facility, in foster care, or during transport — TailTracker can activate a recovery mission immediately. The organization and foster family are both looped in, and the LPRS Engine begins behavioral prediction and field coordination.

Recovery features are free, always

Foster care without losing roster control

Most organizations manage foster placements through email chains, text messages, and separate spreadsheets. When something goes wrong — an animal goes missing, or a foster doesn't respond — finding the right information takes time that doesn't exist in a crisis.

TailTracker models foster care correctly: as temporary guardianship, not ownership transfer. The animal stays on your roster throughout. The foster family receives a placement-scoped view — enough to care for the animal and respond in an emergency, but nothing beyond that.

  • Send placement invites by email or phone — fosters accept through a secure link
  • The animal's status updates to "In Foster" on your roster; it never disappears
  • Fosters see animal care notes, their contact for the organization, and an emergency action button
  • Returns are initiated by either side and confirmed when the animal is physically back
  • Placement history is retained for every animal — useful for repeat fosters and compliance records
  • If a foster doesn't yet have a TailTracker account, they create one when they accept the invite

When an animal goes missing from foster care

This is where TailTracker matters most. A foster family's dog slips through a gate at 8pm. The foster opens TailTracker and taps "Animal is Missing." What happens next is structured — not improvised.

  • TailTracker identifies the animal as organization-owned and confirms the active foster placement
  • The rescue or shelter is automatically notified — your admins are looped in immediately
  • The LPRS Engine activates: behavioral prediction, search zone generation, and field coordination begin
  • A public mission page is created with safe, approximate location data — the foster's home address is never exposed
  • Trained Finders in the surrounding area are alerted and can begin coordinated search
  • Both the foster and your organization's admins are co-members of the recovery mission

Recovery features are permanently free for all partner organizations. No subscription, no gating, no "emergency tier."

Who can do what

TailTracker scopes access carefully. Foster families see their placement. Staff see the roster. Admins control everything.

Every status, clearly tracked

From intake to adoption, every custody state is visible on your dashboard. No animal falls through the gap between a spreadsheet and a text message.

If a missing animal emergency is activated at any stage, TailTracker creates a recovery mission and loops in the right contacts — automatically.

Common questions

Is TailTracker actually free for shelters and rescues?

Yes — completely free, permanently. Roster management, foster placement workflows, adoption transfers, staff accounts, and all emergency recovery features cost nothing for partner organizations. This is a core commitment, not a trial period. TailTracker is sustained through optional premium memberships for individual pet owners, not fees from rescue organizations.

What happens to an animal's record when it's adopted?

When an adoption transfer is complete, the animal's primary record moves to the adopter's personal TailTracker account. Your organization retains a historical copy, including intake records, placement history, and transfer documentation. The adopter benefits from immediate enrollment in TailTracker's protection network from day one.

Can a foster family activate an emergency if an animal goes missing?

Yes. The "Animal is Missing" action is available to the active foster from their placement view. When activated, TailTracker verifies the active placement, notifies your organization's admins immediately, and begins coordinated recovery — all simultaneously. Neither the foster nor your staff has to make a series of phone calls before search begins.

Is the foster family's home address ever shared publicly?

No. TailTracker's privacy protections are built into the mission activation layer. Public mission pages display safe, approximate last-seen location data only. The foster's actual address is never included in public records, alerts, or sighting maps. This is not a user preference — it is hardcoded into how public mission data is written.

What if a foster family doesn't have a TailTracker account?

When your staff sends a placement invite, the foster receives a secure link. If they don't have an account, they create one as part of accepting the placement — it takes about two minutes. They don't need to do anything in advance. Their account will only show their active placement, not your full organizational records.

Does TailTracker replace our existing shelter management software?

No, and it's not designed to. TailTracker is focused on animal custody tracking, foster placement workflow, and emergency recovery coordination. It does not replace intake processing software, veterinary records, licensing systems, or donation management tools. For most organizations, TailTracker fills the gap that exists between "animal is placed in foster" and "animal is safely accounted for."

Where is the platform currently available?

TailTracker is in active pilot in Massachusetts, with a target of 5 partner shelters and 20 Animal Control Officers in the region by the end of 2026. Organizations outside Massachusetts are welcome to apply — early application interest shapes where we expand next. Apply for free access here.
